Be responsible for providing back office tasks to ensure that municipal services are provided in an effective and efficient manner: Back-offices operations, including secretarial and clerical task and supporting HR matters and other office – supporting tasks.
- Supporting daily back office operations, including secretarial and clerical tasks such as:
• Provide a professional reception both in greeting visitors and taking telephone calls.
• Distribute couriers, mails to receivers and arrange all outwards correspondence on time.
• Perform Office Administration project work as required from time to time.
• Follow up and maintain sufficient office stationery, office equipment maintenance.
• Manage access card, parking card and taxi card, name card.
• Air-ticket, car & hotel booking for business trips. Handle visa, work permit (if needs).
• Update visitors report weekly.
• Manage monthly payment of parking fee, electricity, water, couriers, stationery.
• Staff induction assistance (access card, parking card, name card, etc.)
• Monthly update Annual Leave and Attendance report.
• Monthly update Contact list and Master list.
• Order flower for staffs birth-day, counter area.
• Perform other admin tasks to ensure office runs smoothly and as assigned.
- Supporting HR matters and other office-supporting tasks, including but not limited to:
• Support for Logistics arrangement for employees in their trips, training, seminar, event participation;
• Support the logistics and organization for companys events as well as employee relation activities, i.e. Staff birthday party, year-end party, outing, company trip, top producer, long service award, ect.
• Assist in employment, employment advertisement, candidate short-listing, offer letters…
• Update and control staff’s personal database
• Assist with recruitment process, make job advertisement, interview arrangement;
• Assist on IT set-up (computer, procurement, ...) for new comer and others if needed
