The Customer Service and Satisfaction Department (short word, we call it “CS”) is responsible for the goal of “Achieving and Maintaining the Corporate Brand Image of the ‘Most Customer Oriented’ Company” in the society for AEON VIETNAM CO., LTD., and all related group companies in Vietnam. The CS has three main functions as follows;
(a) Customer Service and Satisfaction; Identifying and assessing customers’ needs to achieve satisfaction in our business operation, managing incoming calls regarding customer service inquiries and complaints, and analyzing then assuring of FSH (Food Safety and Hygiene), Safety and Security of our products, services and facilities.
(b) Brandings and trainings of Customer Oriented Company; Brandings of the ‘Most Customer Oriented’ Company in the community and society through training of all employees especially employees in the most front lines.
(c) Customer “Fun” Generations; Leading Sales: Analyzing to improve the current services or to generate new services, as well as any supplemental supports that maintain the current customers feeling “AEON fun” and develop new customers feeling “AEON fun” to lead and improve our presence and sales.
CS is not in charge of QC (Quality Control Department) activities themselves, promotions of sales and marketing activities or Corporate Brandings in terms of Trademarks and Trade names as a primary in charge, however, from the aspect of above (a) to (c), then CS will lead, coordinate and work in cross-departments to achieve the responsibilities described.
1. Duties and Authorities regarding Business Planning:
Establishment of the strategies for Customer Service and Satisfaction, in long-term (5 to 10 years), mid-term (3 years) and short-term (only next one year). The short-term strategies must be specified in details in quarterly and monthly activities based on the analysis of situations in societies of either global and local.
- Grabbing, collecting either objective and subjective situations and any information from varieties of sources.
- Analyzing any situations and risks of results and focusing future of CS activities in scientific way, to reason for directing and correcting strategies of CS from time to time.
- Drafting, inspecting, checking and appropriately amending any documents, web, e-mails etc., which will be disclosed to outside in purpose of Customer Service and Satisfaction, in terms of FSH, Safety and Security of our facilities, laws, regulations and optics of societies, and then sending out.
- Proposing, officializing, implementing and executing CS-related policies, regulations and operating systems by analysis of risks, forecasts etc., except any activities relating to marketing, promotions of any sales.

Purpose: To manage operation of Hardline smoothly with minimum problem, apply efficient manpower management and ensure staff serving customers and increase customer service of staff time to time.
1. Operation duties
a. Merchandise management
- Supervise subordinates to ensure:
• Received merchandise at loading bay is in correct quantity, quality and specifications

c. Customer service

2. Sales and Profits
- Brief subordinates on yesterday sales achievement, today sales budget, up-to-date sales achievement, promotion and company updates

- Breakdown the sales target given by the Management to each Division Leader and take responsibilities for sales target achievement of the Department
- Plan daily sales target on a monthly basis, basing on target of the month announced by Merchandise Department

3. Payroll management
- Process employee data (new hires, changes, additional earnings…) on SAP system.
- Process employee Time & Attendance data from the SAP system to payroll and reconcile variances utilizing tools in the system.
- Check records of employees working hours on SAP system, review them for accuracy, and verify attendance and hours worked.
- Consult employees or management level to correct attendance record errors on SAP system if any.
- Process payroll (calculate, reconcile, prepare for bank transfer, distribute payslip) timely, accurately, and compliantly.
- Answer payroll questions from employees and produce payroll reports when requested by direct supervisor or HR Manager.
4. PIT & Dependant Registration
- Checking the registration for the issuance of PIT code for all employees.
- Register PIT dependant for employees.
- Complete monthly PIT declaration report to Tax Dept.
- Perform PIT finalization on yearly basis for all store employees
5. Social Insurance
- Register social, health and unemployment insurance contribution for new employees.
- Make the report to Social Insurance Agency every month as per mandatory requirements.
- Make claims for social insurance benefits for employees (sick leave, maternity leave, etc) and follow up payment for employees.
- Contact Social Insurance Agency on providing social insurance book and health care card for employees as per regulations.
- Complete the transferring procedure of Social Insurance Book for leaving staffs.
6. Labor contract
- Checking labor contract for new staff .
- Make annex to labor contract, contract renewal for grade 3 up.
- Ensure labor contract, renewal contract and annex to labor contract are given to employees on time.
7. SAP system
- Edit SAP’s errors regarding shift plan for grade 3 up (i.e. time event, shift, night shift, annual leave, etc.).
- In charge of process on SAP for grade 3 up such as: Hiring, cessation, transfer, longtime absence, resume work,….
8. Data management and Reports
- Manage all information of employees, make sure employees’ data correctly
- Check information and provide report when necessary.
- Be in charge of headcount and turnover rate report
- Employees weekly report
9. HR management
- Supervise and follow up subordinate’s tasks daily to ensure HR store’s work run smoothly
- Identify and reduce unnecessary tasks to increase staff productivity.
- Regularly train and motivate subordinates in daily works.
- Identify potential staff for succession planning purposes.

1. Conduct Training Need Analysis (TNA)

- Train new hires and conduct orientation sessions to assess level of skills.
- Oversee the quality of training sessions run by external vendors and trainers.
4. Evaluate training courses
- Evaluate training effectiveness and report to higher management.
- Develop, improve and redesign the quality and contents of training programs in order to enhance employee’s skills if needed.
- Conduct Grade G1, G2 tests to support the evaluation of their performance.
- Be responsible for assisting the supervision of G1, G2 staff including the hiring process, performance management, training and assigning mentors
5. Rules and Regulations
- Follow all working procedures, the company’s policies, rules and regulations.
- Check, monitor, remind and guide subordinates to follow the rules and regulations.
6. Other duties
- Coordinate with other Depts. to take part in organizing Aeon annual events, including: look for event conventions to hold Aeon events and negotiate for the best possible price.
