- Update, report and upload full documents as required in Supplier Management file.

1. Operation duties
a. Merchandise management
- Supervise subordinates to ensure:
• Received merchandise at loading bay is in correct quantity, quality and specifications
• Merchandise on sales floor is fully replenished, in good conditions & quality
• All the display merchandise is according to schematic plan and all the price between display merchandise and price card is tally
• Changing price label (if necessary) is completed before store opens
- Verify and approve inventory orders, merchandise return & transfer, PA zero raised by Division Leader(s) & Group Leaders
- Plan, prepare and assign tasks for subordinates for bi-annual Stock Take and support line with monthly Stock Take as directed by Store Manager
- Plan, assign duties for subordinates to make necessary preparation for Membership Day, Mommy Day and Public Holidays
b. Non-merchandise management
- Supervise subordinates to ensure:
• Operational equipment, lighting and fixtures (gondola, wagon, shelves, etc.) are in good conditions
• Sales floor/pillar/wall is kept clean & tidy
• All backrooms are locked and in good conditions
• Fire Safety procedure is carried out properly
- Make order request for equipment and get approval from Store Manager
c. Customer service
- Handle customer complaints raised by Division Leader(s), difficult and complicated sales
- Always remind subordinate to promote “customer first” spirit
- Follow Company’s Rules on Customer Service (greeting, smiling, bowing and attitude towards customers)
2. Sales and Profits
- Brief subordinates on yesterday sales achievement, today sales budget, up-to-date sales achievement, promotion and company updates
- Share information about customer voice or any arising issues
- Breakdown the sales target given by the Management to each Division Leader and take responsibilities for sales target achievement of the Department
- Plan daily sales target on a monthly basis, basing on target of the month announced by Merchandise Department
- Analyze sales figures and forecasting future sales volumes to maximize profits
- Analyze and interpreting trends to facilitate planning
- Take overall responsibility for the successful execution of all promotion schemes
- Work with Merchandising Dept. for any changes/improvement in merchandise assortment, quality and quantity
- Prepare for higher management review:
• Weekly: sales information, sales promotion review and report of slow moving items
• Monthly: Division review, Promotion review, Sales analysis, Productivity report
• Promotion schemes to boost sales.
- Take leading role in identifying any arising issues affecting sales and operation and proposing corrective actions to the Management
- Take leading role in seeking and working towards solutions to mitigate merchandise loss/shrinkage
3. Manpower management
- Optimize people productivity by manpower planning and implementation to achieve target and maximum productivity
- Ensure efficient leadership to direct the Line/ Department towards Company’s business strategies
- Monitor subordinates’ attendance and attire
- Approve duty roster, shift plan raised by subordinates
- Be responsible for subordinates’ performance
- Take part in recruitment & selection activities for Line/ Department’s staffing
- Motivate, training and develop staff in order to encourage their professional development

1. Duties and Authorities regarding Business Planning
- Cooperating with the direct supervisor(s), establishment of the strategies for Corporate Social Responsibility (CSR) Department, in long-term (5 to 10 years), mid-term (3 years) and short-term (only next one year). The short-term strategies must be specified in details in quarterly and monthly activities based on the analysis of situations in societies of either global and local.

- Analyzing any situations, our degrees of presence, benefits and risks of results and focusing future of CSR activities in scientific way, to reason for directing and correcting strategies of CSR from time to time.

2. General Duties

1. IT Support

- Plan, assign duties for Group Leader(s) and General Staff to make necessary preparation for Membership Day & Mommy Day and Public Holidays.
b) Non-merchandise management
- Supervise Group Leader(s) and General Staff to ensure:
• Operational equipment, lighting and fixtures (gondola, wagon, shelves, etc.) are in good conditions
• Sales floor is kept clean & tidy

• POP execution is carried out properly
• Fire safety procedure is carried out properly
- Check and verify variances in stock & sales figures after Stock Take and make report to Line Manager.
- Execute store opening & closing as directed by supervisor.
2. Customer service
- Provide good customer services to encourage “plus selling”. Be polite and listen alternatively to customer needs.
- Get information and introduce to customers about new arrivals, promotions, policies regarding to payment, returns/exchanges, etc.
- Handle customer complaints raised by Group Leader(s), difficult and complicated sales.
- Follow Company’s Rules on Customer Service (greeting, smiling, bowing and attitude towards customers).
3. Sales and Profits

1. Duties and Authorities regarding Business Planning
- Cooperating with the direct supervisor(s), establishment of the strategies for BOD’s meetings, in long-term (5 to 10 years), mid-term (3 years) and short-term (only next one year). The short-term strategies must be specified in details in quarterly and monthly activities based on the analysis of situations in societies of both global and local.
- Grabbing, collecting either objective and subjective situations and any information from varieties of sources in terms of regulations under the supervisor(s) instructions.
- Cooperating with the direct supervisor(s), analyzing any situations and risks of results and focusing future of BOD activities in scientific way, to reason for directing and correcting strategies from time to time.
- Cooperating with the direct supervisor(s), drafting, inspecting, checking and appropriately amending any documents, information and materials etc., which will be disclosed to outside in purpose of Meetings, in terms of laws, regulations, and then sending out.
- Cooperating with the direct supervisor(s), proposing, officializing, implementing and executing Meetings-related policies, regulations and operating systems by analysis of risks, forecasts etc., except any activities relating to marketing, promotions of any sales.
- Supporting the direct supervisor (s) to become the primary contact and department in charge regarding any activities about management of the Company.
- Supporting the direct supervisor (s) in researching, checking, preparing and performing the change of Company management structure.
- Any other matters ordered from the supervisor and/or company from time to time.
2. Duties and Authority of Execution
> Preparing the Meetings;
- Announce schedule of the Meetings to Attending Members;
- Arrange and announce the Meetings’ agenda to Attending Members;
- Request and follow up Requesters in sending Materials which shall be presented in the Meetings;
- Make advance distribution of Materials before meetings to Attending Members;
- Arrange facilities for the Meetings;
- Prepare Minutes and Results of the Meetings;
- Check the subject matters approved after finishing the Meetings to ensure the compliance with Materials and the Meeting’s Decisions;
- Announce the Meetings Results and return Request Forms with comments to Requesters;
- Seal the Meeting stamp on hardcopies of the results approved in the Meetings;
- Record hardcopy Materials and all other relevant documents, if any;
> Coordination of the Meetings;
- Handle other administrative matters related to the Meetings, and report them to superior;
- Follow up the budget approved in the Meetings and notify to Requesters about using its cost;
- Maintain and update compulsory Members list attending the Meetings;
> Compliance improvement;
- Prepare and edit the Rule of Meetings as requested;
- Cooperation with Legal to check relevant regulations and laws to amend and supplement the Rule of Meetings promptly;
- Adhere to compliance with applicable rules and regulations set in bylaws regarding the Meetings matters.
- Support Legal Department in changing structure of company as needed and adjust, change or amend the Rules of Meetings.
> Connection support;
- Serves as the Meetings’ administrative liaison to Member’s Council and Management Committee;
- Keep the Meetings’ information confidential and discreet;
> Budgeting;
- Being aware of the Department Budgets to control, seek any necessary procedure in case requiring expenses.
> Education for Improvements;
- Improvements are not only company’s responsibilities, but also each staff must do so by own self. Seek and study by self to upgrade performance abilities.
- Any education opportunities, in case appointed to attend by the supervisor(s) or company, then it will be the “MUST” to attend and learn as much as possible; this is also one of responsibilities.
> Aiming Higher Positions;
- Understanding of the supervisor(s)’s role and substituting if required by the supervisor(s) or the company for business continuity management in case of urgency or in case of any situation company requires.
> Any other jobs, roles and activities, or matters ordered from the supervisor(s) and/or company from time to time such as keep Company’s stamp under the regulation, check and give guidance for using Company’s stamps etc.

- Follow up, receive a survey result and do analyzation which show its trend to investigate with ease
- Report analyzation result and action plan

3. Handling Business Partners’ Complaint and Request
- Receive and clarify information from Business Partners and classify them
- Handle issues by collect data from relevant departments and/or by hold a meeting with Business Hotline Committee, which person in charge has written a meeting minute to ecarry out her (his) job with ease
- Analyse root cause and propose Improvement Action to prevent recurrence (if any)
- Prepare a feedback content, which is based on the fact, to Business Partner and get upper-level management approval

1. Payroll management
- Process employee data (new hires, changes, additional earnings…) on SAP system.
- Process employee Time & Attendance data from the SAP system to payroll and reconcile variances utilizing tools in the system.
- Check records of employees working hours on SAP system, review them for accuracy, and verify attendance and hours worked.
- Consult employees or management level to correct attendance record errors on SAP system if any.
- Process payroll (calculate, reconcile, prepare for bank transfer, distribute payslip) timely, accurately, and compliantly.
- Answer payroll questions from employees and produce payroll reports when requested by direct supervisor or HR Manager.
2. PIT & Dependent Registration
- Register for the issuance of PIT code for all employees.
- Register PIT dependant for employees.
- Complete monthly PIT declaration report to Tax Dept.
- Perform PIT finalization on yearly basis for all Vietnamese staff.
3. Social Insurance
- Register social, health and unemployment insurance contribution for new employees.
- Make the report to Social Insurance Agency every month as per mandatory requirements.
- Make claims for social insurance benefits for employees (sick leave, maternity leave, etc) and follow up payment for employees.
- Contact Social Insurance Agency on providing social insurance book and health care card for employees as per regulations.
- Complete the transferring procedure of Social Insurance Book for leaving staffs.
4. Labor book & report
- Make periodical report to Department of Labor, Invalids and Social Affairs as per mandatory requirements.
- Contact Social Insurance Agency and Labor authorities on providing social insurance book and health care card for employees as per regulations.
- Preparing periodical labor reports to be sent to Department of Labor, Invalids and Social Affairs.
5. Labor contract
- Make labor contract for new staff.
- Make annex to labor contract, contract renewal.
- Ensure labor contract, renewal contract and annex to labour contract are given to employees on time.
6. Employee’s profile management
- Set up records and personnel file for new employees.
- Maintain employee’s records in personnel file.
7. Rules and Regulations
- Follow all working procedures, the company’s policies, rules and regulations.
- Check, monitor, remind and guide subordinates (if any) to follow the rules and regulations.
8. Other duties
Other tasks or responsibilities as assigned by HR Manager.
