This role will be based within the Architectural Department and have dual aspects. Firstly leading the design and management of architectural teams on specific projects; ranging from producing concept design, through to technical documentation for tender, construction and license submission. The second aspect of this role involves operational support for daily management of the Architectural Department in association with the Department Manager.

Therefore the Deputy Department Manager will need to be a creative thinker who is self‐motivated and able to work independently in a proactive manner whilst maintaining regular communications with the Architectural Team at all levels.
It is expected that the project lead responsibilities will comprise approximately 60% of the role, whilst the remaining time will be dedicated to management support. Since this will be a new role, the division of time between different duties may vary as the position evolves. It is intended that the candidate may transition to take over the Architectural Department management duties dependent on progress in the role and future company strategy.
Project Duties
Project related duties likely to form part of the daily tasks encountered as the project develops over the various stages. Whilst you may be assigned to one specific project, you may also be asked to assist on other projects as required.
• Liaise with clients/PMs to define project brief, basis of design and project deliverables.
• Analyse design constraints (regulations, site, logistics, hygiene, etc.) in order to determine starting parameters for each project.
• Brief project team in detail, including an explanation of the site, project, programme, team structure, etc.
• Disseminate and explain all relevant project correspondence to the project team.
• Lead design team to produce a strong fit design solution for each project.
• Ensure all documents are fully co‐ordinated with internal design disciplines and other external consultants to minimise on-site problems.
• Support the team on any issues related to either Design or Technical aspects of the project.
• Technical review of project documentation for compliance and construction feasibility.
• Develop a good understanding of local and international regulations and design standards applicable to projects.
• Develop thorough knowledge of and compliance with the company procedures and standards.
• Manage the project team to ensure tasks are completed accurately, efficiently & on‐time.
• Monitor the team’s performance, and provide feedback informally and through formal Performance Reviews.
• Weekly reporting to PM/DM on project progress, milestones and time spent.
Management Duties:
Non‐project related management duties to help the Architectural Department to refine its working methods. The objective is to build appropriate systems and procedures; and also to train, coach, and transfer knowledge to the Architecture team so they can work more independently with less reliance on the Department Manager.
• Assist in defining new templates, guidelines and working procedures, to increase the Department efficiency in project design, drawing production, project and team management.
• Assist Architectural resource planning and management, and ensure team timesheets are submitted in a timely manner.
• Assist with interviewing potential new staff.
• Assist in presentations and reports to external clients and internal stakeholders.
• Respond to RFP requirements and fee estimate requests.
• Help develop architectural team members Design, Technical, IT Software skills and organise appropriate training opportunities.
• Identify staff that require further training, or are having problems with their tasks.
• Provide induction training for new staff on Department procedures, standards, information, techniques so that they can quickly familiarize and be work ready within a minimal timeframe.
• Coordinating information/communication within the department and between departments where required.
• Any other tasks and responsibilities as requested by the Architecture Department Manager to improve systems and capability building, and facilitate smooth operation of the Department.

• University Qualification in Architecture;
• At least 12 years demonstrated relevant experience (with Professional Certificate);
• Demonstrated skills in architectural design, design preparation, documentation and presentation;
• Demonstrated understanding of co-ordination of Design Team’s information into the architectural design;
• Demonstrated understanding of local materials;
• Demonstrated understanding and application of Vietnam Architectural Design Standards, Norms, Laws and Regulations into the projects;
• Demonstrated experience in liaising with International and Vietnamese clients, consultants and team members;
• Demonstrated experience in identifying and anticipate problems, recommend productive solutions, and take effective measures to mitigate risk to project;
• Demonstrated competent communication skills, including good English speaking, reading and writing skills;
• Understanding of budgets, management and reporting;
• Be a strong team leader & results orientated;
• Proficient in ACAD, REVIT, MS office applications and other design software for Architecture Works;
• Ability to communicate effectively to people of varying levels;
• Able to build good relationships at all levels, internally and externally;
• Excellent written and verbal English communication skills;
• Excellent organisational skills to manage and prioritise tasks and time efficiently;
• Demonstrate initiative and proactivity in daily tasks and in response to instruction;
• Ability to understand and formulate design decisions and present for discussion;
• Ability to integrate spatial and technical requirements with inspiring design;
• Ability to work well under pressure and meet deadlines efficiently;
• In depth knowledge and understanding of technical documentation;
• Understanding of the importance lead designer’s role in co-ordination and integration of project information and management;
• Understanding the impact of architectural design changes on project budget and deadlines;
• Knowledge of local building codes, legislation and compliance process, and international standards where relevant;
• Team player able to work well with others; yet also able to impart experience and strong but considered opinions for the benefit of the project outcome;
• Desire to learn and assume greater responsibility for building capability within the Department and staff.
This job description reflects the core activities of the role; although there will be changes in the emphasis of duties as required from time to time. There is a requirement for the post holder to recognise this and adopt a flexible approach to work.
