JOB PURPOSE
To support all Expatriates at TH Schools/
To be responsible for HR Information system, staff wellness, Employer’s branding, Employee’s connection, staff development & training/ To cover for other members in HR department when they are on leave/
AREAS OF RESPONSIBILITIES
- Record and manage files
- Record and manage profiles of current Expatriates including hard and soft copies, ensure each staff has a full profile according to HR requirements and School’s requirements, update on a regular basis
- Record and manage profiles of resigned Expatriates
- Record and manage Expatriates labor contracts, contracts with suppliers, official correspondence, decisions, and other important documents
1. Record timesheets
- Record timesheets for Expatriates, form timesheets and send to HR Manager to calculate monthly salary
- Keep track of Expatriates leave, ensure that staff hand in enough required documents for each leave, record to timesheet
2. Manage Expatriates resignation
- Receive and record resignation letter of staff
- Perform handovers before staff resigns
- Draft compensation declaration for resigned staff, send for signatures and send to Accounting Department.
3. Record and claim insurance for Expatriates
- Notify the increase and decrease in health insurance when there is a change in human resources (new staff, staff resigning, change of policy
- Working with insurance company to support Expatriates with medical insurance claim in case of sickness, accident, … …
4. Applying for visa, work permit, residence card for Expatriates
- Check Expatriates’ degrees, certifications, other documents and instruct Expatriates in getting the documents legalized/certified to apply for work permit
- Prepare application form, official correspondence, other required documents to apply for Expatriates’ visa, residence card
5. Manage taxi card and taxi card record file
- Deliver/Receive taxi card to/from Expatriates
- Manage the number of taxi card, work with taxi company to issue new card when there is demand
6. Support Expatriates in accommodation/Trợ giúp người nước ngoài với các vấn đề liên quan đến nhà cửa:
- Support Expatriates in apartment/house hand-over
- Draft apartment lease contract termination and other documents as requested
- Work with the landlord/house agent/building management to solve all the issues related to rented accommodation for expatriates
- Ensure proper and punctual payment for house/apartment rent
7. Support Expatriates in other HR related fields
- Prepare welcome pack for new expatriate
- Book car/taxi and go to the airport to pick-up new expatriate
* Arrange hotel/accommodation for new expatriate
* Take part in the HR induction to open new bank account, register SIM card, GYM membership for new expatriate
* Prepare HR payments related to expatriate
* Work with airline ticket agent to get quotations and book ticket for Expatriates
* Arrange and support Expatriates with health check-up
* Report to HR Manager if there is any issue
8. To be responsible for HR Information system, staff wellness, Employer’s branding, Employee’s connection, staff development & training
*Under the instruction from HR Manager, build HR IS
*Organise staff wellness and employee’s connection events
*Coordinate with other Department to build staff development and training plan
*Logistic arrangement for staff training
9. Cover for other members in HR team as requested
Under the instruction from HR Manager, cover for other members when she takes a long leave
10. Other tasks as assigned by HR Manager
