MÔ TẢ CÔNG VIỆC
Main responsibilities:
- To manage GM’s day-to-day activity schedule and provide administration support
• Manage GM’s daily schedule, GM’s expense and reimbursement process
• Arrange and ensure on time quality in full of facilities for regular meetings as well as ad-hoc ones
• Arrange traveling, accommodation, and manage logistics
• Arrange visitors’ schedule & program including accommodation and logistics
• File and systemize all incoming and outgoing docs
- To coordinate UFS team activities and follow up actions
• Provide administration support to functional activities & events including team meetings (face to face, telecon/ skype, live meetings, video conference, etc), sales conference event, year end party, team parties…
• Manage meeting facilities such as venue booking, meeting tools
• Take accurate minutes of team meetings and agreed actions along with persons in charge and due date, then follow up on functional activities to meet deadlines
• To consolidate reports from functions, format the proper presentation file to submit to GM for review. Reports can be sales and marketing plans, quarterly letters, sales reports, market research reports, presentation files if assigned by GM
- To provide communications related to UFS team on time quality in full such as announcement of GM/ Leadership team, team activities, including translational communications
- To support and participate in assigned UFS projects appointed by GM
- To deliver to team from HR departments (health insurance, health check up, docs…)
• Provide assistance to new comers: working tools, onboarding program, business card, sales uniform, company process advice
• Prepare and send out HR announcement to the team
• Safety: coordinate with UFS safety ambassador or company Safety team to cascade safety campaign monthly to team
• Other tasks to coordinate between UFS and SHE team
- Translation/ interpretation:
• Translate docs/ letters/ emails as required by GM if needed
• Translate in team meetings as request
- To build integrity and safety mindset and ensure that processes help to embed the right behavior to eliminate COBP violation. Follow up with the whole UFS team to complete integrity courses as required by the company to meet deadlines.

Skills and Experience Required:
- University graduate
- At least 02 year experience in a similar position in a foreign company environment
- Excellent command of written and spoken in English and Vietnamese, communication ability in Thai is preferred
- Proficiency in using MS Word, MS Excel, and MS PowerPoint
- Strong sense of responsibility and proactiveness
- Strong customer service orientation
- Very well organizational skill and communication skill
- Pleasant, outgoing personality, and interested to help driving team spirit
