* Accountability
- To provide secretarial and administrative functions for in-charge areas in a professional manner.
- To coordinate and perform a variety of staff support activities for the department
* Key responsibilities
- Follow up all departmental admin such as stationery order/distribution, all leave records and arrange transportation, accommodation, appointments, meetings… to make sure that these tasks must be realized properly.
- Ensure that all of new documents approved, such as: guidelines, memos, policies… must be proceeded and forwarded to right departments timely, accurately and complied with the company’s policies.
- Update amendment the Partnership Distribution’s Organization Chart and Telephone Number of Dept./Sec. Heads timely to retain the accuracy of intercommunication.
- Collect information and logistic support for all company’s events assigned to Partnership Distribution Department to make sure everything must be carried out smoothly
- Follow up some admin duties such as preparing and sending memo, filing, consolidating depart documents according to PD Head’s requests.
- Assist other PCA expats relating to PD dept. when assigned.
- Prepare correspondence, reports and materials for publications and presentations as assigned.
- Set up travel arrangement, partners ‘events, meetings..etc. for Department Head
- Maintain Department Head’s calendar and coordinate with Department Head’s direct reports to ensure a smooth communication and business activities arrangement.
- Others: to be assigned by the Line Manager or Company’s management (if any)
