* JOB PURPOSE
* ORGANIZATIONAL CONTEXT
This position directly reports to Sales Director.
* SUPERVISED RESOURCES (Sales, budget, headcount…)
- Lead and manage the overall activities of Sales department’s operation relating to
Sales, Finance & Accounting, HR, Administration, Marketing in provisioning of quality and efficient general supports in order to ensure a smooth and efficient office working environment.
-Guide and develop Distributors in nationwide to ensure their Finance, HR, Administration, Logistics operation are run effectively to meet CoreleV ’s requirements & guidelines.
* KEY ACCOUNTABILITIES
I.BUSINESS OBJECTIVES:
1. Sales:
1.1.Lead, conduct, guideline, monitor and controll the Sales Admin Team to achieve sales target and smoothly operation through supporting all activities of Field Force and Sales Head office team
1.2.Tracking and monitoring the sales results of each partner, our own stores, and tracking and recognising the sales revenue of SA/SR, SUP…after end of month. Do the tentative checking the payroll, bonus for all SA/SR, SUP and Sales members.
1.3.Lead, conduct, control in receiving and processing orders from Master Distributors (MD), Exclusive Distributors (ED), other customers.
1.4.Control with evaluation and take action finger out the issues from burden cost to stock and liquidation such as: Sales Team burden cost, Trade Marketing cost, Promotion cost, VM cost, incentive efficiency, DC’stock, Distributotrs’ stock, AR/AP.
1.5.Propose solutions to alert Sales Director to increase the work efficiency of Field Force Sales Team and Sales head office team.
1.6.Manage, supervise infomation of customers, the status of buying from each customer, retailers, Wholesalers and ED, MD as well as information of action plan of sales for each of this partner.
2. Finance Management:
2.1. Overall manage all activities of financial/accounting function of Sales office so as to ensure it is providing efficient and effective and value-added support to the company’s operations.
2.2. Manage effectively Burden Cost/ Brand Support Expenditure Sales Department in terms of budget, expenses and controlling processes as well as support other functions (Brand MKT, Trade MKT, Business Development, Visual Merchandise, Field Force Sales Teams …) in controlling their activities through control processes & procedures to ensure effectiveness & efficiency of activities.
2.3. Develop necessary processes for Distributors operation in accordance with CoreleV processes, based on current practice of MD, ED and other regions, to ensure operating management.
2.4. Manage Field Force cost and reconcile on a monthly basis.
3. Logistic Management:
3.1. Managing & controlling WH operating at MD & EDs level over Supply Chain Team.
3.2. Managing & monitoring stock, samples, GWP for all Marketing activities running at MD, EDs, and stores’ level
4. Marketing activity support & audit:
4.1. Control all trade marketing expenses run and paid through all sales team and sales department.
4.2. Adherence to Monthly Plan Instructions at all times
4.3. Implement regional agreed audit plan to improve operational standards for both Field Force Sales Team and Head Office Sales Team.
4.4. Adherence in developing process for project/activities.
5. Sales Office Administration & Management:
5.1.Manage the provision of world standard office administrative services to ensure the effective office operation.
5.2.Overall manage the provision of appropriate office security measures, operate the security system for office & Company’s owned stores (Access monitor, Alarm system)
5.3. Manage all purchasing relating to sales office operation, ensure an appropriate legality and financial arrangement; ensure appropriate contract signing with authority limits; and ensure appropriate contract administration management. Make sure that contract policy is to be observed and applied strictly in any agreement with any third party.
5.4. Co-ordinate with other Sales & Marketing functions (Brand, Trade, Retail, GT, MT, Ecommerce, VM, SC, Business Development…) to prepare and organize new product launches, sales briefing, sales kick-off days … for all field team at Company & Distributors (with nearly 100 sales & marketing members)
6.Human Resources:
Play a key role as HRBP of Sales head office team and Field team in delivering the service of HRBP with high quality and OTIF:
6.1. Recruitment: Overall manage and control recruitment process at Sales head office and Field level from obtaining recruitment requirements, resourcing, checking reference to offering and induction; ensure that right people are recruited or appointed at right time and right HR administration process; responsible for Induction for new comers: cooperate with line manager (if any) and make sure that new members understand the Company policies and procedure.
6.2. Administration: Implement the procedure of discipline, rewards, resignation, dismissal, end of labor contract, severance allowance
6.3. Members cost management and reconciliation
6.4. Support Headquarter HR Team in every activity which deploys at Sales Department: Performance management, health insurance, health check-up, training, talent development.
6.5. Manage & monitor the implementation of Human Resource procedures at Sales Department and Distributors level.
6.6. Regular follow up with MD & ED to ensure policies/ process flows are consistency and benefits for both.
II.PEOPLE OBJECTIVES:
1.Drive and connect Field Force members and sales head office members in order to develop Sales Department.
2.Fortify working atmosphere that all members feel very close, happy when working and playing together through working activities (project launches) & non-working activities (Happy Friday, Company Day, Sport & Recreation Club...)
3.Build effective and colloborative working relationships with BOD, Marketing Team, Finance & Accounting Team, Field Teams, Supply Chain Team, BI Team, Merchandise Team & HR Team, and other stakeholders
4. Supports & collaborations from Distributors in every activity
5.Develop a healthy talent pipeline feeding into future succession planning
