Purposes of position: To ensure effective HR support is professionally provided to foreign employees and national employees, and HR policies and processes are executed and implemented effectively in Vietnam. To implement the compensation and benefits national wide to the staffs under the guideline of the company’s policy & procedure, government’s regulation and the HRM’s instruction. Main Responsibilities: - Recruitment: • Be an active partner with Heads of Departments to fully understand the scope, responsibilities, and requirements of the positions to be filled. • Review Job ads; work with agencies and other channels for the candidate searching. • Liaise with Admin/Legal, HR Manager and/or HR Head Quarter to gather information required to address the employees’ queries; actively manage and follow up with Admin/HR department in relation to foreign employees visas, work permit, resident cards; • Well manage offer letters, labor contracts, allowance documents and employee files; • Work with HR Manager and/or external consultants to understand changes in local regulatory issues (such as labor, immigration and tax laws) and evaluate the potential impact of such changes on the employees benefits and personal income tax; - C&B duty: • Prepare monthly payroll, process and submit to HRM and Finance Manager timely and accurately; • Follow up and response to payroll related questions; • Double check and follow up medical expenses with insurance company; • Update the insurance details according to the changes of the employment every month; • Adjust the base of Social Insurance according to the new issued government policy; • Make monthly and yearly PIT reports • Coordinate with Finance on C&B issues - Monthly provide reports to Finance Department and Head Quarter HR - Contribute to Head Quarter HR projects, in relation to issues specific to Vietnam; - Interface with HR Manager and Head Quarter HR on all HR issues, as appropriate, to ensure that they are fully appraised of the status of each case requiring action or attention; - Other duties (Performance appraisal, employee’s engagement activities, annual health check…) as assigned
• Daily performance of Clinic Invoice tracking, follow up on pending invoices • Participate in weekly AR meeting with clinic. • Dispatching CCP/OTAI/DB invoices regularly as per guidelines • Preparation of regular Cash and Bank receipts voucher • Preparation of regular Cash payment voucher • Be accounting’s cash custodian, reimburse cash claims after getting approved cash reimbursement form; do cash count at month end. • Ensure timely posting of all invoices, receipts and cash payment. • Perform regular accounts allocation • Timely preparation of monthly balance sheet schedules • Filling document in the folder in subsequence as per guidelines • Ensure monthly clinic revenue are properly closed and posted on a timely and accurate manner. • Assist to do stock count of disposable & drugs at clinic at month end as requested of accounting supervisor. • Preparation of monthly VAT , PIT report • Preparation and submission of timely and accurate information to business units, management and region/group • Assist the Finance Manager in various tasks as requested.
• Work with all members of the Customer Service Representative team to establish, promote and maintain effective customer service such as: greeting the client, answering the phone, assisting the client in completing all necessary documents, assisting the client in making an appointment, admitting new patients to the system, allocating appointments in the Clinic Management System, assisting with filing & photocopying, processing invoices. • Handle customer complaints and ensure a swift response is given within 48 hours with guidance from the Customer Service Representative Supervisor or Customer Service Executive. • Assist the client by keeping the client informed throughout their time in the clinic and maintaining their comfort e.g. offering tea & coffee, greeting the client on entry to the clinic. • Ensure that the highest standard of customer service is provided
• Provide assistance to patients as required • Provide full nursing care & support to patients in the clinic. This includes safety/risk assessment, accurate ongoing assessment & reporting & safe administration of all medications & care. • Prepare the patient and assist the doctors in examination in a timely accurate and safe manner and in a timely accurate and safe manner. • Administer medicines, injections and vaccinations as ordered by the doctor giving all appropriate information to the patient, ensuring medication is checked according to standard operating procedure. • Be able to function efficiently & appropriately in the emergency room, being able to provide routine emergency care & assist in resuscitation efforts. • Be proficient in phlebotomy techniques and the correct procedure for obtaining laboratory procedures as per the procedure manual. • Escort patients to and from outside service providers for diagnostic tests. By providing a high level of nursing care and professionalism during patient escorts • Ensure that all safety & security considerations are considered in work practices. • Have good working knowledge of the Fire Safety manual and SOP & participate in fire safety training annually.
• Ensure continuity of services to Raffles Medical clients by manning the telephone and other communication systems Information to all relevant parties. • Maintain a conductive environment in the Business Contact Centre for the delivery of 24 H services by keeping all stationary readily available at each work station, keep all office equipment in good working order and report any defects to the Admin manager immediately. • Provide empathetic, quality service to our customers • Answer all incoming calls promptly and appropriately, and transfer all medical calls as appropriate to the Doctors • Handle outgoing phone in a timely manner, as per commitments stated in the SOP’s for HCM Business Contact Centre. • Act as the first point of contact for our clients, providing them with the solutions they request. • Report to deputy clinical director any cases which may result in a possible complaint. • Provide relevant information in accordance with operation procedures that are required by other departments relating to caller request. e.g. health check, admin, sales requests • Provide information about the services which Raffles Medical offers to our clients • Maintain open communication lines with Manager, Doctors, Clients and other Raffles Medical staff when dealing with caller requests. • Comply within a service recovery protocol, ensuring that complaints (and compliments) are recorded, escalated and actioned appropriately. • Fulfil all shifts in an efficient and timely manner, maintaining professional working relationships with colleagues within all other departments • Will strictly adhere to all call answering protocols and escalation procedures for Clinic Call Centre • Maintains confidentiality of all clients and Raffles Medical business • Notifies supervisor or Senior Management staff when an issue, incident or accident arises with a client or staff • Assessing and reporting any problems with the program or hardware to IT Department or other member of management, if IT are not available • Be available to work on any shift according to Roster requirements • Attends 80% of meetings and training • Greets all patients in a warm and friendly manner • Comply with all Policies and procedures. • Complete other tasks as directed BENEFITS: - Attractive salary and bonus - Health insurance and Social insurance regulated by Vietnam Labor Law - Professional, dynamic working environment
