DUTIES AND RESPONSIBILITIES
The Front Office Supervisor is responsible and accountable for all operations in relation to the Front Desk whilst on duty. All duties and tasks performed are to be procedurally correct, timely and consistently high quality. To be flexible and willing to help as assigned by management
ADMINISTRATION
•To ensure that all guests are provided with concise and uniform information from all staff concerning the services and facilities provided by the hotel.
•Conduct himself / herself in a respectable way so as to provide a role model for junior staff.
•Ensure a high level of communication with all the departments for smooth operations including Promptly notifying housekeeping of all late check out, early check in and special requests.
•Develop thorough knowledge of the software used in the Front Office.
•Possess a working knowledge of the reservations department. Takes same day reservations and future reservations when necessary. Know cancellation procedures
•Perform cashiering tasks such as compute bills, collect payment, bill / invoice settlement, posting charges to the guest account, raising paid outs, make change for guests when requested, and foreign currency exchange
•Perform bookkeeping activities, such as balancing accounts and conducting audits
TECHNICAL RESPONSIBILITIES
•To monitor guest service personnel constantly, ensuring that at all times.
•Know cash handling procedures.
•Control the cash floats handover
•Verify the transfer of guest charges from other department
•Prepare the check out and billing for the guests.
•Settle guest account.
•Check the City Ledger with the financial Controller.
•Optimize the sales by suggestive selling
•Control the expenses of department and maintain them as low as possible within the level of service according to hotel’s philosophy.
•Change foreign currency based on the daily bank rate given by the Financial Controller.
•Balance the cash, currency, credit cards received and hand them to the accounting department.
•Help to minimize wastage, neglect, breakage and mishandling of equipments and supplies.
•Work closely with the housekeeping department in the keeping room status reports up to date and coordinates requests for maintenance and repair work
•Conducts shift briefings to ensure hotel activities and operational requirements are known
COMMERCIAL RESPONSIBILITIES
•To maintain a good reputation of the Hotel in relating to guests or visitors.
•Responsible for providing services and handle guest requests with efficient and courteous manner at all times.
•Must be able to work independently with little supervision, as well as have the ability to consider, evaluate and make sound business decisions regarding question as problem solving.

DUTIES AND RESPONSIBILITIES
•The executive Housekeeper is responsible and accountable for maintaining the highest standard or room and public area cleanliness and appearance, guest service as well as engendering team spirit and motivation in all staff. He/She must be fair and just in any staff disciplinary actions.
Administrative and Technical Responsibilities
•Delegate to and supervise all managerial staff within the department and assist then in preparing work schedules.
•Routinely inspect all Housekeeping areas with the room division manager and other supervisory personnel to ensure that the furnishings, facilities, and equipment are clean and in good repair
•Informs, using good communication skills, other departments of Housekeeping matters that concern them, particularly the Laundry Department, the Engineering Department, the Front Office, and the Food and Beverage department. Maintains open channels of communication with other department heads and the room division manager.
•Spearhead, and enforce policies and procedures & rules and regulations based on Best Western Premier and Sonasea Phu Quoc Standards in order to achieve the highest levels of uniformity and guest services.
•Performs special duties as required by the RDM.
•Responsible for the cost effective rostering of all staff in the Housekeeping Department including rooms, public areas and laundry. (The main objective of the Housekeeper in rostering, is to keep wages to a minimum whilst ensuring the highest possible level of service to the guests of the Hotel and highest level of productivity.)
•Prepare weekly staffing schedules, monitoring staff attendance and assist in planning work schedules.
•Prepare various monthly reports as required by the room division manager.
•Conduct regular operational meetings to review, monitor, adjust and upgrade the performance of the Department as a whole, explaining new directions and policies and procedures at the same time.
•Prepare the annual capital and operating budgets for the Department in conjunction with the room division manager and ensure departmental expenditure is kept within budget by presenting the P & L for the Department to the room division manager on a monthly basis.
Commercial Responsibilities
•To handle and resolve all guest queries and complaints in an efficient manner and to establish an amicable relationship with all clients, customers and guests of the hotel.
•Through close supervision recommend improvements and changes to the operation of the Department, especially concerning creating better services standards, increasing revenue and reducing costs. Responsible to ensure that all stock/linen levels and usage are effectively and cost efficiently controlled.
•Supervises outside contractors to ensure contractual compliance
•Implements and controls Housekeeping procedures that provide for the health and safety of personnel and guests, such as lost and found service, key control, security and emergency procedures and environmental procedures
Human Recourses Responsibilities
•Plans and organizes regular Departmental training for all staff, specially new staff, paying particular attention to courtesy, efficiency, service standards, grooming, diplomacy and actual job knowledge.
•Responsible to ensure that all staff under her jurisdiction are at all times immaculately groomed, e.g.: correct and complete uniform, personal hygiene, i.e., hair, make-up etc.
•Identify and develop leadership qualities among subordinates in order to guide them towards the path of Career enrichment with both Best Western Premier and Sonasea Phu Quoc, and additionally provide the Hotel with a source for future management.

GENERAL MISSION
