The South-east Asia IPR SME Helpdesk has been established in 2013 and is funded by the European Union. The 3rd phase started in September 2018 as a 2-year project. The project supports EU SMEs to both protect and enforce their intellectual property rights in or relating to South-East Asia through the provision of free information and services. These take the form of jargon-free, first-line, confidential advice on intellectual property and related issues, plus training, materials and online resources. EuroCham Vietnam, as key implementation partner in the region, plays an important role in carrying out training and visibility activities in Vietnam and in the wider South-east Asian region: Representing the Helpdesk at trade fairs, matchmaking events and receiving visiting delegations of SMEs from the European Union. Furthermore, EuroCham Vietnam is in charge of developing publications in the IP field and has an important role in building and maintaining relationships with enforcement agencies, IP offices and IPR Sector Committees of other European Chambers of Commerce in the region. With a network of 1,000 members and its network of strategic partners, EuroCham Vietnam will monitor and identify specific areas of interest to EU SMEs in the IP field.

- Reporting to: Media & Corporate Relations Manager. - To be responsible for memberships, database and mass-mail management. - Coordination of IT activities. To assist other colleagues/departments for a smooth running of the office. - Key Working Relationships: + Internal: EuroCham staffs within EuroCham. + External: EuroCham members, Vietnamese central and local authorities, the European delegation to Vietnam, the media. - MEMBERSHIP MANAGEMENT TASKS: + To maintain and update membership directory book and its online version on a regular basis. + Coordinates all membership relations material execution and printing, such as EuroCham’s yearly Membership Directory, Membership Card, etc... + Is responsible for new member enrolment and renewals, in close coordination with Finance department. + Manage Database and CRM system. + Have top-of-the-head knowledge of key Membership statistical indicators (e.g. number of members, geographical concentrations, key industries represented, etc). + Act as centralised Contact point for Questions of all members and track all member engagements with the Secretariat. + Supports the ongoing collection of data, improvement of data that can be extracted from the membership database (e.g. industry categories, source of member acquisition, engagements). + Ongoing collection of data and feedback towards the realization of the Memberships Year assessment, supported by members feedback in order to support the steering of the Marketing and Communications strategies going forward. - MEMBERSHIP MARKETING TASKS: + Establish membership marketing strategies based on the value added provided by EuroCham to its members, depending on the use that a given member’s business may have from being a EuroCham member. + Track benefits awarded to the members and employ efforts so that they are fully utilized. - OTHER ADMIN TASKS: + To assist the management team with administrative work, in the execution of projects as required from time-to-time (events registration, arrange B2B meetings for trade mission…). + To prepare express bills via their CIT system to send EuroCham publication, directory, cards… + Other Membership or Marketing-related supporting tasks as required by the Media & Corporate Relations Manager. - Type of Contract: 24 months fixed term contract upon successful completion of a 2 month probation period.
Reporting to: Project Manager, Executive Director. Supervising: Project Assistant. Job Summary: The Project Officer performs both operational and research tasks related to organizing events and partnership coordination, attending matchmaking events, in-house research for publications, marketing and developing training materials. Key Working Relationships: - Internal: the project team at EuroCham Vietnam and coordination with consortium members - External: European companies in South-East Asia, the European Delegation to Vietnam, EuroCham’s partners in South-East Asia, IP lawyers in the Helpdesk’s expert network, goods and services suppliers Main Duties and Key Performance Indicators: 1. Represent the project during events, trade fairs and match-making events in Hanoi and/or HCMC and occasionally in other cities of Southeast Asia to strengthen the visibility activities of the project and distributing promotion materials; 2. Attend matchmaking events e.g. international trade fairs and proactively approach European exhibitors to generate IPR questions. 3. Support in organizing training events, securing experts and arranging logistics in partnership with the intermediary network; 4. Manage the database of enquiries regarding IP in South-East Asia from EU SMEs or intermediary organizations; produce reports and statistics on different aspects of enquiries; 5. Support the project’s IP Business Advisor in the production of training materials and publications by conducting initial research, creating first draft and providing further content and design input; 6. Attend meetings and conferences concerning IP in Vietnam and support in monitoring changes in regulations and IP landscape in Vietnam; 7. The candidate will be required to travel nationally and internationally; 8. The candidate will be required to network with the European business community on a regular basis. 9. Membership relation management tasks: - 1st contact point on the membership issues (membership application, membership benefits, instruction and information). - Day-to-day update membership database (through CRM system/Online membership platform). - Day-to-day follow up on membership benefits deliverables, such as: Membership Directory, Membership Card, etc. - Coordinate with outsource suppliers: + Courier service: deliver Membership card and print directory. + Printing supplier: update and produce print directory annually. + Card production: produce membership cards. - Manage new member enrolment and renewals, in close coordination with Finance department. - Have top-of-the-head knowledge of key Membership statistical indicators (e.g. number of members, geographical concentrations, key industries represented, source of member acquisition, etc.). - Ongoing collection of data and feedback towards the realization of the Memberships Year assessment, supported by members feedback in order to support the steering of the Marketing and Communications strategies going forward. Reporting to: Advocacy Manager & Executive Director. Job Summary: - Sector Committee (SC) Assistant position will assist both offices in HCMC and Hanoi. - Key responsibilities include monitoring the industrial and trade developments in Vietnam in close cooperation with the EU Delegation in Hanoi; responding to inquiries on Vietnamese laws, regulations and policies, and supporting the activities of existing and new Sector Committees. - The position also involves a high need for the coordination and organization of SC meetings as well as the support in drafting of the annual Position Papers for the printing of the EuroCham Whitebook. Type of Contract: 24 months fixed term contract upon successful completion of a 2 month probation period.
