- Communicate, follow up and prepare payment vouchers to settle payments for suppliers
- Work closely with other teams to resolve payment-related issues.
- Take care of bank transactions
- Update data on corporate online systems
- Make payment to guides and control guides’ costs
- Collect input invoices, check information of invoices and send them to external accounting monthly
- Provides assistance and support to Chief Accountant and General Accountant in overall work of accounting department such as preparing invoices, sending invoices to agents, etc.
- Embrace sustainability and green practices at the office
- Other duties as assigned by Chief Accountant, General Accountant, and General Manager

Overall Departmental Goals:

Specific Purpose and Scope of Work:
To accurately and in a timely manner receive, create and confirm booking requests for services required by our internal and external clients.
Base Office:
At the Khiri Travel Vietnam office, in Ho Chi Minh City
Job Responsibilities:
• Make arrangements for transportation, hotel accommodation, car rentals, tours, trains, ferries, recreational activities etc.
• To provide effective and timely delivery of travel arrangements with local service providers as requested by Khiri clients (agents and individuals).
• To coordinate travel arrangements where necessary with other Khiri Branch and Country offices.
• Revert proactively to the Sales team and to other Khiri departments deemed as necessary on the feasibility of trip requests.
• Nurture excellent relations with local service providers, other Khiri entities and with clients when necessary.
• Ensure that all information pertaining to a trip are provided to the client in a timely and professional manner.
• Advise on weather conditions, restaurants, tourist attractions, local festivals etc.
• Provide information on customs and immigration regulations, papers, passports, vaccinations, exchange rates etc. to international travellers.
• Administrative support. Issue, gather and prepare all documents required such as tickets, vouchers as needed.
• Thorough understanding of the company’s products, along with a good knowledge of Khiri Travel providers/suppliers.
• Brief tour leaders and guides on their upcoming trips, stressing client’s expectations and client’s special needs.
• Make contact with clients at regular intervals during their programs
• Guide quality control by spot-checking them regularly
• To resolve proactively any complaints and answer any questions and concerns regarding services, procedures.
• Ad hoc visits to inspect restaurants and hotels to evaluate the comfort, cleanliness, safety and customer satisfaction.

Specific Purpose and Scope of Work
Customer Service
Responsible for specializing, dealing with and resolving issues between suppliers and clients in a thoughtful and diplomatic manner to ensure a positive result for all those involved. Communicating with clients by phone, email or other means, listening to client’s concerns and provide on the spot solutions are part of the daily tasks of the Travel Experiences Manager. The final objective is to act as an interface between Khiri Travel, our agents, their clients and our field staff.
Operations
Responsible for handling requests both internally and externally for the booking and confirmation of services to our clients. Proactively manage a small team for this purpose.
Job Responsibilities
Customer Service
• Receive and debrief tour leaders and guides.
• Ensure all files, paperwork and finances are correctly accounted for.
• Make contact with clients at regular intervals during their programs with the team.
• Resolve proactively any complaints and answer any questions and concerns regarding services, procedures.
• Prepare daily, weekly, monthly team reports on various sections of the team for incoming revenue, call logs, client contact logs, overviews and performance, etc.
• Monitor and assign the emergency phone roster and participate in handling the emergency/ after-hours system.
Operations
• Direct oversight of all the requests for bookings/ reservations and confirmations with service providers.
• Actively manage the planning, scheduling, execution and monitoring of all unit tasks to ensure customer needs are met in a timely and satisfactory manner.
• Create updates and maintain reservations reference materials and procedures.
• Manage reviews and maintain forms and files containing key information and documents required prior to travel.
• Provide feedback on suppliers and service providers at regular intervals to Management.
• Work in close cooperation with all Khiri departments, branch offices and country offices.
• Recruit, train, evaluate and provide ongoing development to maintain a highly qualified and motivated Operations & Customer Service team.

• Ensure that all information pertaining to a trip is provided to the client in a timely and professional manner
• Advise on weather conditions, restaurants, tourist attractions, local festivals, etc.
• Provide information on customs and immigration regulations, papers, passports, vaccinations, exchange rates, etc. to international travellers
• Administrative support: issue, gather and prepare all documents required such as tickets, vouchers as needed
