Employee type : 3rd party employee, contract under Vinh Thuy Company Limited (Service Provider for DuPont Vietnam Limited)
Working time : Monday to Friday in District 1, HCMC
KEY RESPONSIBILITIES
Admin support
Goals: Ensure all admin support and arrangement for Country Leader are in well-prepared and smoothly managed at all times.
 Arrange accommodations, transportations, restaurants, air tickets, visa, invitation letters for him, local Team and visitors via authorized agencies;
 Support business activities and field trips, including group meeting, dinner and other business events such as Kick-off Meeting, Commercial Meetings Product Stewardship...
 Prepare / send TERs to relevant departments with supporting documents
 Arrange the paymets to vendors including telephone and other suppliers etc..
 Other supports delegated later by direct supervisor and the company, including the following
1. Follow up and monitor MDO activities:
 Review and combine Rice, Specialty & New venture field activities, get it checked and approved for implementation.
 Get weekly & monthly updates actual activities vs. plan
 Follow up on LPD’s plan to collect LPD’s documentation
2. Monitor the internal team’s order
 Booking, tracking and follow car rental process (Marketing, Commercial team)
 Manage warehouse process, tracking and follow payment process
3. Events / Seminar / Workshop/ Field day of Marketing:
 Collect quotations as required
 Tracking & follow the speaker contacts and other related contract – if needed
 Receive & make the payment for these events.
 Book these documents on systems on time & tracking them.
 Follow the payment process & prepare the required documents
4. Summary report:
 Support to collect and classify the reports from the market
 Analyse and output data as request
5. Others tasks:
+ Prepare the accommodation & transportation for Sales and Marketing Team – as required
+ Prepare & get approval for DGA activities as needed.
+ Follow payment process for other services.
